The key responsibility of the Virtual Assistance Team Leader is to ensure the Service is delivered to clients in a timely fashion, to budget and with quality results. This role involves managing & holding accountable a team of Virtual Executive Assistants and answering their day-to-day questions, removing roadblocks, and ensuring they are performing to a high standard.  Resources and personnel must be allocated appropriately to deliver the best service for our clients.  Projects must be administered correctly including set-up of systems internally, liaising with clients, measuring results, quality checking services provided and developing both internal and external reports.

  • Focus on team member training and development.
  • Deliver services on time with satisfied clients.

Core Responsibilities:
  • Client Onboarding: Set up clients, analyze team capacity, manage launch meetings, and handle queries.
  • Weekly: Ensure report submissions, update team metrics, host meetings, provide feedback, and approve payroll.
  • Monthly: Manage client spreadsheets, forecast revenue, assist with hiring, review invoices, and conduct health checks.
  • Quarterly: Conduct VTO, review contract performance, and hold quarterly conversations with direct reports.
  • Induction of New Staff: Create training schedules, welcome meetings, provide training resources, and assign tasks.
